Document Handling Process

All documents submitted to the Prosecutor General's Office, whether in physical or digital format, are recorded in the Case Management System (Mafini) upon receipt. Each document is assigned a unique reference number to ensure proper tracking.

 

Once registered, documents are reviewed and assigned to the appropriate staff for action. Legal documents and matters requiring prosecutorial review are assigned to prosecutors for the necessary legal assessment and action. The designated unit heads will then further review the case actions and amend as required, an Assistant Prosecutor General or Deputy Prosecutor General will then approve the said action. 

 

Access to documents are restricted to authorised personnel according to their roles and responsibilities. Records are maintained securely and retained in compliance with legal requirements and organisational policies to protect the integrity and confidentiality of the information.

 

When all related proceedings and matters have been concluded, the relevant records are archived in accordance with archival procedures. All records are preserved and archived to maintain a complete institutional record and ensure future accessibility when required.
